Article 1: Basic Policy on Personal Information Protection

Digital Platformer Corporation (hereinafter referred to as "the Company") establishes the following privacy policy (hereinafter referred to as "this Policy") regarding the handling of user personal information in the services provided by the Company (hereinafter referred to as "the Services"):

  • The Company ensures that its employees and other relevant parties understand the importance of personal information and implements ongoing education, supervision, and review.
  • The Company will obtain consent from the individual when acquiring personal information.
  • Personal information will not be obtained through improper means.
  • The Company will acquire, use, and provide personal information appropriately within the scope of clearly defined purposes necessary for the execution of its operations. The acquired personal information will only be used by authorized personnel to the extent necessary for their duties, and measures will be taken to prevent its use for unintended purposes.
  • The Company will maintain the accuracy and currency of personal information and strive to prevent and correct unauthorized access, loss, destruction, alteration, or leakage of personal information.
  • The Company will respond promptly and sincerely to inquiries, complaints, and requests regarding personal information, such as disclosure, from clients.
  • Personal information will be handled within the scope of the purposes explicitly stated to the client. The Company will not disclose or provide personal information to third parties without the client’s consent, except when there is a legitimate reason.
  • The Company complies with the Personal Information Protection Law and other related laws, guidelines, and regulations.
  • The content of consultations or requests made by clients or other related parties will not be disclosed to third parties.
  • The Company will only contact clients or related parties via the designated contact information.
  • Documents and records received through consultations or requests will be responsibly stored and disposed of.

Article 2: Handling of Personal Information

The Company appropriately manages and strives to protect the personal information of users, business partners, shareholders, and employees in accordance with the "Basic Policy on Personal Information Protection." Specifically, the handling of personal information is conducted as follows:

    A. Personal Information

    "Personal Information" refers to information defined as such under the Personal Information Protection Act. It includes information about living individuals that can identify specific individuals through details such as name, date of birth, address, phone number, contact information, and other descriptions. It also includes data related to appearance, fingerprints, voiceprints, and health insurance certificate numbers, which alone can identify a specific individual (personal identifiable information).

    B. Methods of Collection

    The Company acquires personal information through lawful and fair means and does not obtain it unlawfully or against the individual’s will. When collecting personal information, the Company will notify or disclose the purpose of its use in advance.

    C.Handling

    In the Services, all personal information collected by the Company for the purpose of enabling users to utilize the Services or using the Services is stored exclusively in the user’s local device storage. This ensures protection from external access.

  • Purposes of Collecting and Using Personal Information

    The Company ensures that personal information and specific personal information are not used inappropriately. The purposes for which the Company collects and uses personal information are as follows:

    A. User Information

  • To verify the identity of the user.
  • To generate a user’s DID (a 32-character personal identification number randomly generated by the SHIKI system) and provide it to the services being utilized.
  • To assist in the provision of personal information necessary to verify the user’s identity or other certifications required when using services offered in collaboration with municipalities or private companies.
  • To develop, provide, improve, enhance, and support the Services.
  • To respond to inquiries, provide information, or address other matters related to the Services.
  • To ensure the security of the Services and prevent unauthorized use.
  • To address actions that violate the terms, policies, or other rules of the municipalities and private services used within the scope of the Services.
  • To notify users about changes to the terms, policies, or other rules related to the Services.
  • To communicate other important information regarding the Services.
  • To use statistically processed data for marketing and related purposes.

B. Employee Information

  • Human Resources and Labor Management: Including performance evaluations, assignments (including secondments and transfers), training, and recruitment.
  • Payroll Management: Including determination of salaries and bonuses, and payment of retirement benefits.
  • Health Management: Including health check-ups and health guidance.
  • Welfare Services: Including employee savings plans and discounts on the Company’s products.
  • Security Management: Including crime prevention, disaster preparedness, and occupational health and safety.
  • Operational Management: Including work-related communications, preparation of various reports, and posting on groupware systems.

C. Employee Individual Numbers

  • Used for pension qualification acquisition, verification, and benefit applications.
  • Used for employment insurance qualification acquisition, verification, and benefit applications, as well as for administrative tasks at public employment offices (Hello Work).
  • Used for medical insurance procedures, including premium collection, welfare benefits, implementation of public assistance, and other administrative tasks related to low-income measures.
  • Included in tax-related documents such as tax returns, notifications, and statements submitted by citizens to tax authorities, and utilized for internal administrative purposes by such authorities.
  • Used for social security, local taxation, disaster prevention, and other similar administrative tasks stipulated by local government ordinances.

Article 3: Joint Use of Personal Information

The Company may jointly use necessary personal information, such as customer names, company names, and addresses, within the scope of the purposes outlined above. In such cases, the Company will responsibly manage the handling of the relevant personal information.

When jointly using personal information, the Company will clearly specify the items of personal information to be used, the scope of use, the purpose of use, and the party responsible for management beforehand.

Article 4: Safety Management Measures

The Company designates a management representative for personal information and ensures proper internal management in compliance with applicable laws. Furthermore, to address foreseeable risks related to personal information, the following safety management measures are implemented:

  • Formulation of Basic Policy:
  • Establish a basic policy to ensure the proper handling of personal data, including compliance with related laws and guidelines, and providing a grievance and consultation contact point.

  • Development of Rules for Personal Data Handling:
  • Create rules for acquiring, using, and storing personal data.

  • Organizational Safety Management Measures:
  • Ensure compliance with established handling rules under the supervision of a responsible manager and develop a reporting and communication system for employees to notify the manager.

  • Human Resource Safety Management Measures:
  • Provide regular training to employees on considerations regarding the handling of personal data.

  • Physical Safety Management Measures:
  • Manage entry and exit to areas handling personal data, restrict devices brought into such areas, and implement measures to prevent unauthorized access by individuals without the necessary authorization.

  • Technical Safety Management Measures:
  • Identify the equipment and personnel authorized to handle personal data and prevent unnecessary access to personal data.

  • Understanding External Environments:
  • Understand the systems governing personal information protection in foreign countries where personal data is stored and implement safety management measures accordingly.

Article 5: Provision of Personal Information

The Company will not disclose or provide customer personal information to third parties except in the following cases:

  • When the customer has given consent.
  • When required by law.
  • When necessary to protect human life, body, or property, and obtaining the customer’s consent is difficult.
  • When personal information is entrusted within the scope necessary to achieve the stated purposes.
  • When business succession occurs due to mergers, company splits, business transfers, or other reasons.

Article 6: Disclosure of Retained Personal Data and Third-Party Provision Records

The Company will handle requests for the notification of usage purposes, disclosure, correction, suspension of use, or disclosure of third-party provision records of retained personal data as follows:

  • Requests for notification of usage purposes.
  • Requests for disclosure.
  • Requests for corrections.
  • Requests for additions or deletions.
  • Requests for suspension of use.
  • Requests for deletion or cessation of third-party provision.
  • Filing an Objection
  • Withdrawal of consent

Verification will be conducted by confirming identity or agency through documents such as driver’s licenses, insurance cards, dates of birth, addresses, and phone numbers. Agents authorized to request disclosure are as follows:

  • Legal representatives of minors or adult wards.
  • Agents authorized by the individual to request disclosure.

  • No fees will be charged for requests for disclosure, corrections, or similar actions.

Article 7: Changes to the Privacy Policy

  • The content of this policy may be changed without notifying users unless otherwise specified by law or this policy.
  • Unless otherwise specified, changes to this policy will take effect when posted on the Company’s website.

Article 8: External Transmission

The Services utilize the following module to delegate the verification of signature electronic certificates and to confirm authentication-related information. As a result, user information will be provided to the module provider as described below:

  • Module Name: iTrust Identity Verification Service
  • Module Provider: Cybertrust Corporation
  • User Registration Information Provided: Signature electronic certificates from My Number Cards and electronic signatures generated using those certificates.
  • Purpose of Use by the Provider: To delegate the verification of signature electronic certificates and to confirm authentication-related information.

Article 9: Disclosure of Personal Information

Upon receiving a request from a user to disclose personal information or records related to third-party provision in accordance with the Personal Information Protection Act, the Company will confirm that the request originates from the user themselves and will disclose the information without delay. (If the requested personal information does not exist, the Company will notify the user accordingly.)

However, this does not apply if the Company is not obligated to disclose the information under the Personal Information Protection Act or other applicable laws and regulations.
